Operations Coordinator Position


Profound Peace Psychotherapy Collective is seeking a part-time Operations Coordinator. This is primarily a remote position but in-person meetings in our Hyde Park/Woodlawn office will be required from time to time. For this reason, a Chicago-based candidate is ideal.


This position primarily reports to the Operations Manager and the CEO. The Operations Coordinator will work 15-20 hours per week Mon-Fri, supporting the front and back end of our business, including scheduling client calls, billing, client support, and ensuring our staff is supported.  Must be able to reply to emails and make calls during business hours in Central time (Chicago, Illinois)


Administrative or customer support experience is a must. Knowledge of mental health or private practice is a plus. Must be attentive and organized. Training will be provided but we need someone who is open to learning new platforms and is willing to share ideas when things can be done a better way. As humans, mistakes will happen but we do need a natural problem solver. We respect honesty and teamwork above all else. We are looking for someone we can trust.


Duties/Responsibilities:

  • Be the first point of contact for clients via email and phone (no in-person requirement at this time)
  • Manage scheduling and ensure that clients have completed intake documentation
  • Verify insurance benefits for new and established clients
  • Submit insurance claims 
  • Manage intake documents and ensure EHR files are accurate
  • Regular and reliable attention to assigned tasks is required as this is a remote position
  • Passion for working with others (being collaborative) and helping our team members grow and learn
  • Opportunities to manage social media and marketing 
  • Other duties as may be assigned.


Qualifications and Skills:

  • Be organized, detail-oriented, and results-driven
  • Balance being a team player with taking appropriate initiative 
  • Self-motivated
  • Be able to work independently on tasks assigned
  • Have strong written and verbal communication skills and strong interpersonal skills. Professionalism, correct spelling, and proper grammar are a must.
  • Experience with billing and insurance is preferred but not required


Desired Skills/Tool Expertise:

  • Outstanding written and verbal communication (required)
  • Working knowledge of Excel or Google Sheets
  • TherapyNotes or other EHR platform (desired but not required)
  • Outlook and Gmail 
  • ClickUp or other project management tool
  • Zoom
  • Availity for insurance verifications
  • Buffer and Canva for social media purposes

Pre-Licensed Therapists & Counseling Interns

Application Cycle for Fall 2023 Opens March 15, 2023

Provide professional counseling and therapeutic services to assess, diagnose and treat mental, emotional and behavioral disorders. Graduate interns identify training goals to meet academic requirements or for program completion. Associate (post-graduate) therapists work with a supervisor to outline training goals including certification completion or meeting licensure requirements.


Qualifications & Requirements

  • Must have or currently be in pursuit of a Masters degree in Counseling, Psychology or other psychology field with related coursework in clinical issues as defined by the DSM-V.
  • Must have availability to attain and maintain a caseload that supports continuity of care and engagement in weekly supervision.
  • Must commit to a minimum service period to maintain ethical, quality care.
  • Must demonstrate willingness and ability to adhere to all standards of practice outlined by the APA, Illinois State Licensing Board, and other professionally relevant psychological bodies under the direction of the supervising clinician.

CompensationGraduate interns receive academic credit. Pre-licensed therapists are compensated according to a revenue percentage split.
